What is it and who can use it?

The Salmon Library Interlibrary Loan Services Department obtains loans (books) or copies of research materials not owned by Salmon Library for UAH faculty, students and staff. Persons not affiliated with the University in this manner should consult their local public library.

When should I use Interlibrary Loan?

Use interlibrary loan when iLink, the UAH online catalog, indicates that Salmon Library does not own the book you want or does not have the periodical with the article you need, either in hard copy or electronically. Use the link to JOURNALS from the library’s home page to determine either electronic or print availability of periodicals. Ask a Reference Librarian if you need assistance. Submitting an ILL request without thoroughly searching UAH resources, in print and online, can substantially delay your access to the material.

How do I request materials?

From the library's webpage, select Books- E-Books. Enter your UAH ID number to log into the catalog. Select "Request Material” from the toolbar and then "Interlibrary Loan". Complete the appropriate form, either Book Request or Article Request and click the “Submit” button. Fill in the REQUIRED fields in the forms. You must submit ONE form for EACH request; multiple items per form not allowed.

If the forms do not include the information for the required fields, the request will not be processed. You will be notified by UAH email when your material(s) arrive or if the material is not available.

What materials are not available through ILL?

The following materials usually are not requested: books owned by UAH but checked out; e-books; entire periodical issues; materials for reserve or group use; reference books; textbooks and items that violate copyright guidelines.

NOTE: WE WILL NOT ACCEPT ILL REQUESTS FOR REQUIRED TEXTBOOKS. CLASS TEXTS MUST BE PURCHASED - ILL IS NOT AN OPTION TO MEET THE CLASS TEXT REQUIREMENTS.

How much does it cost?

Interlibrary loans are available at no cost to UAH faculty, students and staff. The cost to the library averages $30.00 per request, and borrowers are encouraged to avoid unnecessary expense to the library.


Borrowers are charged $1.00/day for each day that an ILL book is overdue After 21 days overdue, the ILL book is declared “LOST” and a fee of $65.00 is imposed which includes a non-refundable processing fee of $15.00.

How long will it take?

Allow 9 +/- days for monograph materials (books) to arrive. Periodical articles and other photocopied materials are generally received with 4+/- days and are usually emailed directly to you. At certain times during the semester, like midterm, some requests may take a month or longer to fill. Notification for pick-up is via email. Please include your UAH email address, and be sure to check your mail for ILL messages.

What information should I provide to facilitate the request?

The following information is required on all requests: Name, phone number, mailing address (campus or US mail), status (faculty, staff, student), and email address.

Provide complete citation information for each item. For books: title, author, edition if appropriate, and ISBN if available. For articles: journal title (no abbreviations), article author, article title, volume/issue/page numbers, publication date and ISSN if available.

How will I receive the material I requested?

If the item you requested is a photocopy, we can deliver one of 3 ways:

  1. Post it on the Electronic Document Delivery webpage and send you email notification with access instructions (preferred)
  2. Place it at the library circulation desk (first floor lobby) for you to pick up
  3. Send it through campus mail or U.S. mail

If it is a book, we will notify you by email or by phone of its arrival and will place the material at the circulation desk for you to pick up.

Are renewals possible?

Please note that the lending library sets the return date. In most cases it may be two or three weeks with no renewal. Salmon Library has no control over these dates. The due date is indicated on the book band wrapped around the item's cover. Borrowers are charged $1.00/day for each day that an ILL book is overdue.

Institutions that loan materials reserve the right to recall items at any time.

How can I order my own copy of a dissertation?

If a thesis or dissertation is unavailable at another library, it usually can be ordered from Dissertation Express at www.umi.com. At the webpage, select "Dissertation Services", then "Dissertation Express" and then "Dissertation Express for Individuals". Follow the links to search for your item, to place your order and to pay by credit card. The ILL department no longer orders dissertations.

What is the Salmon Library RSIC Courier Service?

The Salmon Library provides a retrieval service for research materials located at the Redstone Scientific Information Center (RSIC). The ILL department borrows items from the nearest lenders first. If materials are at RSIC, the Library Courier retrieves the material locally. The Interlibrary Loan Request Form serves as the request form for all off-campus requested items including those items that may be at RSIC.

For general searching information, the WorldCat database can be used to identify some materials at RSIC. On the search form in WorldCat, limit availability selection to Library Code: MWF. It is not necessary to identify RSIC materials; the ILL Department will select RSIC as a lender in all appropriate cases.

All BOOKS borrowed for UAH patrons from RSIC will be borrowed as an Interlibrary Loan item unless the patron is a RSIC cardholder registered through Diane Jackson at Von Braun Research Hall, Research Security and Administration E-20. RSIC cardholder status must be noted on the ILL form for BOOK borrowing purposes.

What should I know about copyright restrictions on interlibrary loans?

Submission of an official interlibrary loan request form indicates that the requester recognizes and agrees to comply with copyright laws and guidelines governing duplication of materials for interlibrary loan.

The copyright law of the United States (Title 17, United States Code) governs the making of photocopies or other reproductions of copyrighted material. Under certain conditions specified in the law, libraries and archives are authorized to furnish a photocopy or other reproduction. One of these specific conditions is that the photocopy or reproduction is not to be "used for any purpose other than private study, scholarship, or research." If a user makes a request for, or later uses, a photocopy or reproduction for purposes in excess of "fair use," that user may be liable for copyright infringement. This institution reserves the right to refuse to accept a copying order, if in its judgment, fulfillment of the order would involve violation of copyright law.
